Terms and Conditions

All guests are advised to read the following terms and conditions that apply to all bookings. These are hosted, typically, in our booking platform, accessible through links from our website at www.inchnadamph.com. We summarise our conditions below but ask you to reference our terms and conditions attached to your bookings.

 

Booking Fee

1.1. Unless otherwise agreed, we will require a deposit of 25% to secure all room bookings. In the case of booking single beds in a dorm rather than whole bedrooms, a booking will need to be paid 100% upfront with no deposit.

 

Standard Terms for all bookings

2.1. Check in between 16:00 and 21:00 - Check out by 10:30.

2.2. Children of all ages are welcome.

2.3. Pets are welcome in our Steadings, Walled Cottage and Shepherd’s Hut and stay free of charge. Please note we do not accept pets in the Main Lodge or Cosy Cabin.

2.4. There is no smoking permitted within any of the properties on Inchnadamph Lodge grounds. On site there are designated outdoor smoking areas. 

2.5. Parking is available on site and is free of charge. 

2.6. Inchnadamph Lodge Ltd and its employees accept no liability for any loss or damage to guest property.

Payment Terms for Large Groups Only

3.1. Large group bookings should be made by calling the Lodge on 01571 822218 and discussing the details of your needs, timescales and group numbers. Or, by completing the form here www.inchnadamph.com/group-bookings. Group bookings are treated as a special event and have different payment schedules based on your requirements.

3.2. An event payment schedule may be put into place for large group bookings, details of which can be seen in the billing section of your confirmation.

3.3. Final numbers are required at least 14 days prior to the event date. Any reductions and/or cancellations made after this date are non-refundable and non-transferable and whilst we will endeavour to accommodate any last-minute changes to your event, this cannot be guaranteed.

3.4. The final invoice will be issued in advance of your event date and payment of the balance shown on that invoice must be made not less than 14 days prior to the event date. If payment is not received in full by that date with no alternate agreement in place, Inchnadamph Lodge Limited reserves the right to cancel the booking in which case all monies will be retained and the cancellation charge in section 4 payable.

3.5. The client must adhere to the minimum guest numbers and revenue spend noted on your contractual document.

3.6. Inchnadamph Lodge Limited reserves the right to charge interest at the rate of 3% per annum above the Bank of England base rate upon any overdue invoices from the date payment became due until the date of actual payment.

3.7. All prices include VAT at the appropriate rate.

3.8. Should you wish to change the date of your large group event to any other date within 6 months of the original a £250 administration fee shall be payable at the time of request, in addition to any price variation in your package. Subject to availability and confirmation that we can accommodate the change. We may review this at our discretion in the case of exceptional circumstances.

3.9. Should you change your large group event dates and then wish to cancel the new date, you are liable to pay the cancellation terms from the original date booked.

 

Cancellation

4.1. The client is under a legal contractual obligation to honour the booking and minimum revenue which has been detailed in your booking documents, whether online or confirmed by email. If you cancel the booking you are liable to pay the cancellation fee calculated against that value.

4.2. In the event of a cancellation the full deposit is non-refundable as are any monies paid against the bill in line with our cancellation timescales which are described in your booking confirmation.

4.3. All cancellations must be made in writing and cancellation charges will be calculated as a percentage of the total contracted value in accordance with the cancelation timescales confirmed in booking.

4.4. It is the responsibility of the client to cancel or amend bookings/arrangements with external suppliers directly, e.g. www.booking.com. Inchnadamph Lodge Limited are not liable for additional expenses incurred by such cancellations. Telephone us on 01571 822218 if you are having any problems or need to make any direct bookings.

 

Cancellation policy for non-group bookings

5.1 Notice of cancellation given by the client (this is the date from which the notice is received by Inchnadamph Lodge Limited) for non-group bookings is:

5.2. If you are booking a bed in a shared or dorm space:

a. Payment Conditions

i. Dormitory beds require a 100% non-refundable payment at time of booking. Payments by BACS and the following cards: Visa, Mastercard, Amex.

b. Cancellation Conditions

i. In the event of cancellation of a dormitory bed at any time, the full cost of the stay will be charged.

5.3. b. If you are booking a private room, steading apartment, cottage, shepherd hut or camper van:

a. Payment Conditions

i. A non refundable deposit equal to 25% of the stay is required. Full booking balance is due on the day of arrival. Payments by BACS, and the following cards: Visa, Mastercard, Amex. 

b. Cancellation Conditions

i. If the booking is cancelled 5 or more days before arrival there is a loss of deposit. 

ii. If the booking is cancelled less than 5 days before arrival then a charge equal to 50% of the stay will be made.

iii. Cancellation within two days of arrival, or in the event of a no show or booking reduction (after arrival date) then a charge equal to 100% of the stay will be made.

 

Accommodation

6.1. All reserved and/or contracted accommodation on your account unless otherwise stated, will be subject to cancellation charges as detailed in your booking confirmation.

6.2. The guest will be liable for any additional charges incurred during the period of stay for all rooms on the guest’s account, unless otherwise agreed. This must be settled on departure from Inchnadamph Lodge Limited.

6.3. Bedrooms will be made available for all guests between 4pm and 9pm and are to be vacated by 10:30am on the day of departure. If you require an early check in or late check out this can be arranged with prior notice at an additional cost, subject to availability.

 

Food and Drink

7.1. As an explorer base, and historically a hostel B&B location, we offer kitchen facilities for self-catering. However, as we develop plans for more food and drink in the shop, we reserve the rights to change rules on access to alcohol and other types of beverage. We expect the shop to carry useful staple foods for self-catering, but also offer in time a wider range of hot food and dinner service. Additional charges for this service may apply.

 

Guest Property

8.1. Neither Inchnadamph Lodge Limited nor Inchnadamph Lodge Limited staff are liable for any loss or damage to the property of the client or your guests except within the constraint of the 1956 Hotel Proprietors Act. Any such circumstances must be reported to the Duty Manager at the time of discovery and to the police within 24 hours.

 

Guests

9.1. The client and all guests in attendance of the event must comply with all requirements of law whilst on the premises and grounds. In particular with the requirements of the Licensing Act 1964 together with any statutory instruments since enacted.

9.2. The client and attending guests are responsible for any loss or damage caused by them to any part of Inchnadamph Lodge and its grounds. This includes but is not limited to; damage or loss caused by deliberate, negligent or reckless act, omission or default. This includes damage or loss to all fixtures, fittings and equipment caused by the client, guests or outside suppliers. Inchnadamph Lodge Limited reserves the right to charge guests the cost for rectifying any damage caused. Should this damage come to light after the guest has departed or in the event of failure to pay, we reserve the right to make a charge to the guarantee card or send an invoice to the client’s registered address.

9.3. In line with UK Legislation, Inchnadamph Lodge Limited operates a no smoking policy within all interior areas of the Lodge, Steadings, Shepherds Hut, Walled Cottage and Cosy Cabin. For guests who do not comply with our no smoking policy a charge will be added to their bill to include the cost of cleaning.

9.4. Acceptance of this agreement confirms that at the time of arriving at Inchnadamph Lodge:

a.You were not displaying Covid-19 symptoms.

b.You have not been advised to quarantine by the UK Track & Trace scheme or following international travel.

c. You are not sharing/living in accommodation with someone who has been asked to quarantine within the last 14 days.

9.5. Inchnadamph Lodge Limited reserves the right to refuse entry to any guest displaying Covid-19 symptoms without medical explanation, without prior notice.

 

Alterations

10.1. The client acknowledges that Inchnadamph Lodge Limited may change the internal or external appearance of the accommodation, public areas and/or function rooms of the venue without prior notice.

10.2. Inchnadamph Lodge Limited endeavours to maintain the building in reasonable condition, and to do so essential maintenance may at times have to be carried out without prior notice. Whilst every effort is made to minimalise disruption caused by such maintenance work, Inchnadamph Lodge Limited cannot be held liable to the effects of it taking place.

10.3. Inchnadamph Lodge Limited is not liable for the failure or delay of your booking which is beyond the control of the business. Unless prevented by force majeure Inchnadamph Lodge Limited will provide the accommodation, facilities and services as specifically outlined in your booking confirmation. Force majeure relates to major events outside of Inchnadamph Lodge Limited’s influence and control and includes, but is not limited to; the temporary or permanent interruption of business caused by severe weather, power outages, fire, industrial action including strike, civil commotion, and government lockdown closures due to epidemics and/or pandemics. In the event of force majeure, all bookings and events will be offered new dates to rebook. In the event that an alternative date cannot be agreed, credit to the value of the booking will be provided for up to 6 months from the date of the original booking, subject to availability. In the event that a future booking cannot be re-arranged, guests are advised to claim against their credit card or insurance.

 

Entertainment and Grounds

11.1. It is the responsibility of the client to ensure that any externally arranged suppliers e.g. www.booking.com adhere to all of Inchnadamph Lodge Limited’s terms and conditions. Relevant insurance documents, Public Liability Indemnity copies and risk assessments must be provided on request. Inchnadamph Lodge Limited is not liable for the quality of services from any suppliers arranged directly by the client or a third party.

11.2. Should you require any items to be delivered to Inchnadamph Lodge prior to the event, arrangements must be made in advance with our host team at the Lodge. Whilst we will endeavour to ensure safe keeping, items are left at the client’s own risk and we will not be held responsible in the event of loss, theft or damage.

11.3. Prior written approval must be obtained should you wish to attach items to the walls, floors, ceilings or fixtures.
